Purposes and Legal Basis for Personal Data Processing<\/span><\/h2><p><span style=\"font-weight: 400;\">Personal data is processed for the following purposes:<\/span><\/p><h3><span style=\"font-weight: 400;\">2.1. To Provide System Functionality<\/span><\/h3><p><span style=\"font-weight: 400;\">To provide balance reconciliation functionality between companies and their business partners.<\/span><\/p><p><b>Legal Basis<\/b><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Article 6(1)(b) GDPR \u2013 performance of a contract or steps prior to entering into a contract;<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Article 6(1)(f) GDPR \u2013 legitimate interests of the controller to ensure secure, transparent, and documented reconciliation of balances between companies.<\/span><\/li><\/ul><h3><span style=\"font-weight: 400;\">2.2. Compliance with Legal Requirements<\/span><\/h3><p><span style=\"font-weight: 400;\">To ensure compliance with the Accounting Law of the Republic of Latvia and best practices in accounting organization, as well as to provide evidence for independent financial statement audits.<\/span><\/p><p><b>Legal Basis<\/b><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Article 6(1)(c) GDPR \u2013 compliance with a legal obligation.<\/span><\/li><\/ul><h3><span style=\"font-weight: 400;\">2.3. Voluntary Identity Verification<\/span><\/h3><p><span style=\"font-weight: 400;\">If the user chooses to perform identity verification (Smart-ID or eParaksts Mobile), personal data is processed to increase the reliability of submitted information.<\/span><\/p><p><b>Legal Basis<\/b><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Article 6(1)(a) GDPR \u2013 user consent.<\/span><\/li><\/ul><h2><span style=\"font-weight: 400;\">3. Categories of Personal Data Processed<\/span><\/h2><p><span style=\"font-weight: 400;\">The following categories of personal data may be processed within the System.<\/span><\/p><h3><span style=\"font-weight: 400;\">3.1. Identification Data<\/span><\/h3><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">First name and surname<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Personal identification number (if verification is performed)<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Date of birth (if verification is performed)<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Country of residence (if verification is performed)<\/span><\/li><\/ul><h3><span style=\"font-weight: 400;\">3.2. Contact Information<\/span><\/h3><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Email address<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Phone number (voluntarily provided)<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">By providing a phone number, the user agrees to its inclusion in reconciliation documents and its use for communication regarding clarification of reconciliation data.<\/span><\/p><h3><span style=\"font-weight: 400;\">3.3. Transaction and Reconciliation Data<\/span><\/h3><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Reconciliation request information<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Submitted amounts and dates<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">User comments<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Information contained in attached documents<\/span><\/li><\/ul><h3><span style=\"font-weight: 400;\">3.4. Technical Data<\/span><\/h3><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">IP address<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Access and authorization data<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">System activity logs (for security purposes)<\/span><\/li><\/ul><h2><span style=\"font-weight: 400;\">4. Source of Personal Data<\/span><\/h2><p><span style=\"font-weight: 400;\">Personal data is obtained only from System users themselves or from companies initiating the reconciliation process and specifying responsible contact persons.<\/span><\/p><h2><span style=\"font-weight: 400;\">5. Data Retention Period<\/span><\/h2><p><span style=\"font-weight: 400;\">Reconciliation requests and responses are stored for 9 (nine) months from completion of the reconciliation process.<\/span><\/p><p><span style=\"font-weight: 400;\">After this period, the data is deleted.<\/span><\/p><p><span style=\"font-weight: 400;\">Before deletion, the System sends the initiator of the reconciliation request a PDF archive containing the relevant information.<\/span><\/p><p><span style=\"font-weight: 400;\">If legal regulations require a longer retention period, data may be retained accordingly.<\/span><\/p><h2><span style=\"font-weight: 400;\">6. Transfer of Personal Data<\/span><\/h2><p><span style=\"font-weight: 400;\">Saskano.lv does not transfer personal data to third parties except in the following cases:<\/span><\/p><ol><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">where required by applicable law or requested by competent public authorities;<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">where data processors are engaged for data processing purposes (for example hosting, IT maintenance, or identity verification service providers) under data processing agreements ensuring appropriate data protection measures.<\/span><\/li><\/ol><p><span style=\"font-weight: 400;\">Personal data is not transferred outside the European Union or the European Economic Area unless appropriate safeguards are implemented in accordance with GDPR requirements.<\/span><\/p><h2><span style=\"font-weight: 400;\">7. Security<\/span><\/h2><p><span style=\"font-weight: 400;\">Personal data is processed and protected in accordance with GDPR, laws of the Republic of Latvia, and industry best practices in information security.<\/span><\/p><p><span style=\"font-weight: 400;\">Saskano.lv implements technical and organizational security measures appropriate to the risk level to ensure confidentiality, integrity, and availability of personal data.<\/span><\/p><p><span style=\"font-weight: 400;\">The System uses appropriate security measures including:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">password-based access authorization;<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">voluntary identity verification using Smart-ID or eParaksts Mobile;<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">access rights restrictions;<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">secure data transmission;<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">security logging and monitoring.<\/span><\/li><\/ul><h2><span style=\"font-weight: 400;\">9. Cookies<\/span><\/h2><p><span style=\"font-weight: 400;\">The System uses only technical cookies necessary for session management and operation of the System.<\/span><\/p><p><span style=\"font-weight: 400;\">No analytics, advertising, or tracking cookies are used.<\/span><\/p><h2><span style=\"font-weight: 400;\">10. Changes to This Privacy Policy<\/span><\/h2><p><span style=\"font-weight: 400;\">Saskano.lv reserves the right to make changes to this Privacy Policy.
